HOA Payment Processing That Puts Dues Collection on Autopilot
Collecting dues from hundreds of homeowners β plus assessments, amenity fees, and rent across managed properties β requires a processor built for recurring, high-value payments.
No obligation. Just clarity.
Collecting Dues Shouldn't Require Chasing Checks and Making Phone Calls
Manual dues collection is a nightmare at scale. Checks get lost, coupon books confuse owners, and homeowners who "forgot" create a cascade of late payments and administrative headaches for board members and community managers alike.
And when you do accept cards or ACH, most processors charge excessive fees on recurring payments. $350 in monthly dues at 2.9% plus $0.30 costs the association $10.45 β multiply that across hundreds of homes, or across $1,500 rent payments in a managed portfolio, and you're hemorrhaging money.

How Smart Payment Processing Transforms Dues Collection β From Chasing Checks to Automated Revenue
HOAs and community association managers face a payment problem most processors don't understand: recurring, high-value transactions with thin operational margins. A $350 monthly assessment paid by card at 2.9% plus $0.30 costs the association $10.45 every month β over $125 per home per year. Across a 300-home community, that's more than $37,000 a year in processing fees coming out of the budget that's supposed to fund landscaping, reserves, and repairs. Property managers feel the same squeeze at even higher ticket sizes: the average rent payment in the US is $1,700/month, which costs $49.30 per unit per month to process at 2.9%.
This is why so many associations still rely on checks and coupon books β boards are trying to avoid processing fees. But manual collection creates its own costs: late payments, bounced checks ($25-$50 per occurrence), volunteer or staff hours spent on manual reconciliation, and the sheer time cost of managing paper-based payments. On the rental side, the industry average is 8-12% of tenants paying late each month.
The solution isn't avoiding electronic payments β it's optimizing them. With ACH processing (electronic bank transfers) costing a flat $0.50-$1.00 per transaction regardless of amount, a quarterly assessment or a $1,700 rent payment costs less than $1 to process via ACH. By offering owners ACH as the primary payment method (with credit cards as a backup), associations and property managers can cut processing costs by 90%+ while still offering convenient electronic payments.
ACH vs. Credit Card: The Smart Payment Mix for Associations and Property Managers
The optimal approach combines ACH and credit card acceptance. Here's why:
ACH (preferred for dues and rent): Flat fee per transaction ($0.50-$1.00), regardless of amount. A $3,000 special assessment costs the same to process as $350 monthly dues. ACH also has lower chargeback rates and pulls directly from the owner's bank account. The tradeoff: ACH takes 2-3 business days to settle and has higher return rates than credit cards.
Credit card (backup option): Percentage-based fees make cards expensive for large dues and rent payments. However, some owners prefer cards for rewards points or cash flow flexibility. We recommend offering cards with either a convenience fee (passed to the payer per card network rules) or absorbing the cost on a case-by-case basis. To see exactly what card acceptance costs at your ticket sizes, run your numbers through our credit card processing fee calculator.
Most organizations we work with see 70-80% of payers opt for ACH when it's presented as the default option. This dramatically reduces overall processing costs while still offering the flexibility of card payments.
Automated Dues and Rent Collection: Set It and Forget It
Manual collection β whether checks, coupon books, or one-off electronic payments β requires constant attention. Someone has to track who paid, who didn't, issue late notices, record payments in the accounting system, and chase delinquent accounts. For every 50 units managed, this typically requires 15-20 hours of staff time per month β and in a self-managed HOA, those hours come from volunteer board members.
Automated collection eliminates most of this work. Owners enroll in auto-pay once through a self-service portal. On the 1st (or whatever date you set), dues automatically debit from their bank account or charge their card. Success/failure notifications come to your dashboard automatically. Late fees are calculated and applied without manual intervention.
The result: on-time payment rates typically increase from 88-92% to 95-98%. Staff time on collection drops by 70-80%. And your accounting gets real-time payment data instead of waiting for checks to arrive and clear.
Board Reporting and Multi-Property Reconciliation
Associations and management companies need payment reporting that matches their structure β by community, by unit, by owner. Generic processor dashboards show transaction lists that require manual mapping to your properties and units, which makes preparing a treasurer's report for the board a monthly chore.
Our system provides community-level and unit-level payment tracking. You can see at a glance which units have paid, which are pending, and which have failed β across every community or building you manage. This data exports directly to your management software, eliminating double-entry and reconciliation headaches.
HOA & Property Payments: Credit Card vs. ACH
| Payment Type | Amount | Credit Card (2.9% + $0.30) | ACH | You Save |
|---|---|---|---|---|
| Monthly HOA Dues | $350 | $10.45 | $0.75 | $9.70 |
| Quarterly Assessment | $1,050 | $30.75 | $0.75 | $30.00 |
| Special Assessment | $3,000 | $87.30 | $0.75 | $86.55 |
| 1-Bedroom Rent | $1,500 | $43.80 | $0.75 | $43.05 |
| 2-Bedroom Rent | $1,900 | $55.40 | $0.75 | $54.65 |
| 300-Home Community Monthly | $105,000 | $3,135 | $225 | $2,910 |
*ACH flat fee of $0.75/transaction assumed. For a 300-home community on ACH, annual savings vs. credit card exceed $34,000. Check your own amounts with the fee calculator.
HOA Payment Processing FAQ
Can we pass processing fees to homeowners or tenants?
Yes. Many associations and property managers add a convenience fee for credit card payments (typically 2.5-3%) while offering ACH at no additional cost. This incentivizes owners to use ACH (which is cheaper for the association) while still offering card payment flexibility. We help you set up proper fee disclosures that comply with card network rules.
How does ACH differ from credit card processing in terms of risk?
ACH has different risk characteristics than cards. ACH returns (similar to chargebacks) can take longer to process β up to 60 days for unauthorized claims. However, ACH return rates are generally lower than card chargebacks for dues and rent payments because the payer has explicitly authorized the recurring debit. We provide ACH authorization forms and return management.
Can homeowners set up auto-pay themselves, or does our staff need to do it?
Both options are available. You can send owners or tenants a link to a self-service portal where they enter their bank account or card information and authorize recurring payments. Or your staff can set up auto-pay during owner onboarding or lease signing. Either way, the payer authorizes the recurring charge and payments process automatically.
Do you integrate with association or property management software?
Our payment data can be exported to all major property management platforms including AppFolio, Buildium, Yardi, RentManager, and others. We provide CSV exports and API access for automated data transfer into whatever accounting system your association or management company uses. Payment records match to units and owners, eliminating manual reconciliation.
What happens when an owner's auto-pay fails?
For ACH, the return typically comes within 2-3 business days. For cards, declines are instant. In both cases, you receive an automatic notification. Smart retry logic attempts the charge again at optimal times. If the retry also fails, the system can automatically apply late fees according to your configured rules and notify the owner or tenant.
Can we accept payments for amenity fees, fines, and other one-time charges?
Yes. Beyond recurring dues and rent, you can send one-time payment requests via email or text for any amount β amenity reservations, transfer fees, violation fines, pet deposits, maintenance charges, etc. The payer clicks the link, sees the amount and description, and pays instantly. No logging into a portal required.
