Merchant buying guide
Payment USA vs. Helcim: which fits your business?
Helcim gives merchants a strong public starting point: transparent interchange-plus markups, automatic volume tiers and integrated collection tools. Payment USA starts with your statement and builds a written proposal around the business. The better fit depends on the complete cost and operating setup.

01 / Compare the whole offer
Two interchange-plus approaches, presented differently.
Helcim publishes a detailed markup schedule before a merchant asks for a custom review. Payment USA advertises statement-based comparisons and personalized interchange-plus proposals. That difference affects how you shop, but it does not decide which bill will be lower.

| Buying question | Payment USA | Helcim |
|---|---|---|
| Pricing model | Personalized interchange-plus quote based on the business and statement; written pricing is needed for comparison. | Published interchange-plus markup tiers that adjust with the preceding three months’ average card volume. |
| Full cost | Compare the quoted markup, per-item charges, recurring fees, equipment and any optional services in writing. | Underlying interchange and network costs plus the published markup; hardware, recurring-payment fees and other applicable charges can add to the total. |
| Ways to collect | In-person, online and phone-order processing; confirm the exact gateway, invoicing or recurring-payment workflow in the proposal. | POS, virtual terminal, invoicing, payment links and online checkout are advertised as included tools. |
| Cost-passing program | Cash-discount and dual-pricing configurations are available; review the complete program, signage, terminal behavior and remaining costs. | Fee Saver supports eligible in-person and online uses. Debit and ACH still cost the merchant, and eligibility and regional restrictions apply. |
| Equipment | Equipment should be selected and priced for the proposed setup; confirm ownership, compatibility and every device cost. | Card Reader is published at $199 plus shipping; Smart Terminal is $349 plus shipping or $32 monthly for one year. Optional 4G is $7 monthly. |
| Support and review | U.S.-based support and a free statement review are advertised. Ask who owns setup and ongoing account questions. | Helcim publishes in-house human phone support six days a week, a logged-in ticket system and a statement comparison tool. |
Helcim facts come from its interchange-plus, pricing, Fee Saver and contact pages, checked September 16, 2026. Payment USA offerings are described on its credit-card processing, cash-discount and dual-pricing pages.
02 / Work the published math
What Helcim’s entry tier could cost in one hypothetical month.
This independent example uses Helcim’s published in-person markup for $0–$50,000 in average monthly card volume: 0.40% plus 8¢ per transaction. The underlying card cost must be added separately.
Assume $740 in interchange and network costs.
Volume markup: $40,000 Ă— 0.40% = $160
Transaction markup: 800 Ă— $0.08 = $64
Illustrated total: $740 + $160 + $64 = $964
That equals a 2.41% effective cost in this example. The $740 underlying cost is an explicit assumption, equal to 1.85% of sales; it is not a Helcim quote or a prediction for a particular merchant.
Arithmetic check: $964 Ă· $40,000 = 2.41%. This example excludes equipment, optional 4G, recurring-payment charges, Tap to Pay charges, chargebacks, refunds and other applicable items. Helcim says original processing fees are retained on refunds. A different card mix or transaction channel can materially change the result.
Why the assumption matters.
Interchange-plus makes the processor markup visible, but it does not make the underlying cost uniform. Debit cards, rewards cards, commercial cards, keyed transactions and international cards can carry different costs. Replace the assumed $740 with the underlying cost shown by your own transaction mix before relying on the answer.
For Payment USA, obtain the actual percentage markup, per-item charge, recurring fees and equipment costs in writing. Do not substitute the analyzer’s 2.65% illustration for that proposal.
03 / Choose by operating fit
Use the setup you will actually run.
Pricing deserves close attention, but a low modeled cost is not useful if the payment workflow does not fit the business.
You want a public starting point.
- You value a published markup schedule and automatic volume tiers.
- You want invoicing, payment links, virtual terminal, online checkout and POS in one advertised toolkit.
- You are comfortable validating the underlying costs and any add-on charges yourself.
- Fee Saver’s eligibility, restrictions and customer experience fit your plan.
You want a proposal built from your statement.
- You prefer a person to review current fees before quoting the new setup.
- You need in-person, online or phone-order processing configured around your workflow.
- You want to compare standard interchange-plus with cash discount or dual pricing.
- You are prepared to verify every price and equipment term in the written proposal.
A short fit checklist.
- List monthly volume, transaction count, average ticket and the share of in-person, keyed and online sales.
- Identify every tool you use: terminal, POS, gateway, invoices, recurring payments, payment links, accounting and reporting.
- Price the complete setup for twelve months, including hardware, optional services and one-time switching work.
- Ask each provider to explain refunds, disputes, funding timing and support escalation in writing.
04 / Reduce switching risk
Resolve migration questions before closing anything.
Include the operational cost of moving in the comparison.
Data and customer payments
- Can customer records, recurring schedules and saved payment credentials move?
- How will open invoices, refunds, disputes and gift-card liabilities be handled?
- What reports must be exported for accounting and reconciliation?
Equipment and timing
- Which readers, terminals, printers and accessories are required, owned or financed?
- What integrations have been confirmed for your exact software versions?
- When will test payments, refunds, receipts, settlement and staff training be completed?
